Changing Envelope Numbers Manually

Givers in your church may come and go throughout the year. As such, you shouldn't have to wait until the end of the year to assign or reassign numbers to new givers.

Once changes have been applied, they cannot be undone and Church360 does not keep a history of previous envelope numbers. It is highly recommended to download or print an envelope list before making major changes to your envelope numbers.

To add or edit a few givers,

  1. Go up to the gear icon in the upper right corner of the screen and select Envelopes.
  2. On the Envelopes view, use the search filter, scroll bar, or Smart Group traits to find the records you are looking to update.
  3. If there is a married couple not sharing the same row, you will want to click "Add a spouse" next to one of their names. Type in the spouse's name and select it.
  4. If the couple wants their offerings to be attributed to both of them, you'll want to make sure the "Contributes Jointly" box is checked. Conversely, if a couple no longer wants to give together, uncheck that box to separate them.
    • It's important to note that this will not affect any offerings given before the contribution change. Therefore, any offerings given when the couple was marked as giving jointly will still be attributed to both and any offerings given when the couple was marked as giving separately will be attributed only to one spouse. 
  5. The number or dash if blank under the Current Envelope header is a person's envelope assignment as of right now. If a person has a current envelope number, that number will appear under the Next Envelope column as well unless that field is changed. Before assigning a number, that number will need to be available with no other person having this assignment.
  • If a giver doesn't have a current envelope number, you can add an envelope number to the Next Envelope field to assign them a new number. When you click into the field, the next available number will show faintly. Type in a number and press the Enter key to add the new number. A dot will appear next to the field to mark that a change has occurred. If you want this person to have this particular number indefinitely, check the box under Don't Renumber to prevent them from being assigned a different number by the renumbering utility.

  • If a giver has a current envelope number but no longer needs one, you can click inside of the Next Envelope field where the number is and clear it out using the Backspace or Delete key. Press the Enter key to move to the next row. A dot will appear next to the field to mark that a change has occurred. If you are looking to move an envelope number to another giver, you will need to remove it from the current individual first. If this person never needs another envelope, check the box under Don't Renumber to prevent them from being assigned another number by the renumbering utility.

  • If a giver has a current envelope number but needs to be given a different number, you can add another envelope number to the Next Envelope field to assign them a different number. When you click into the field, the next available number will show faintly. Type in a number and press the Enter key to add the new number. A dot will appear next to the field to mark that a change has occurred. If you are looking to move an envelope number to someone else, you will need to remove it from the current individual before you can assign it to another giver.

6. Once all of your changes have been made, click the "Apply Changes" button to make those changes immediately. This cannot be undone so make sure these are the changes you want applied now. You can also schedule the change for a later date.
