Linking Names and Recording Attendance Using Forms

Step 1: Access the Forms View and Open the Desired Form

  1. Click the Forms Icon in the navigation bar.
    • This opens the Forms View, where all your forms are listed.
  2. Locate the form you want to view.
  3. Click the > arrow in the Actions column next to that form.

Step 2: View Form Responses or Events

After opening the form, what you see next depends on how the form is configured:

  • If the form is not connected to anything or connected to a single event:
    • Scroll below the graph to see a list of responses.
  • If the form is connected to a calendar of events:
    • Scroll below the graph to see a list of events instead of respondents.
    • Click the > arrow next to an event to open its details and view that event’s responses.

Step 3: Link Respondents to Person Records

  1. From the list of respondents (or within an event’s responses), click Link Names to open the Link Responses to People window.
  2. The system will suggest matches whenever possible.
  3. For each response:
    • Confirm the suggested match, or
    • Use the dropdown to select the correct profile, or
    • Leave it blank if no matching profile exists
  4. Click Confirm All when finished.

Step 4: Post Attendance

  1. Click Post Attendance.
  2. Attendance is recorded as follows:
    • Linked profiles → Recorded as attendance
    • Unlinked names → Counted as Additional Head Count
