There are a few ways transaction data can be populated into Church360°, depending on the tools and automations you choose. Below are the options:
Manual Data Entry
You can enter each transaction manually from the Transactions drop-down in the upper right of Ledger. This option gives you full control over the data being recorded and allows you to enter transactions as they occur.
Key characteristics:
- Complete control over all fields
- No reliance on integrations
- Risk of data entry errors
Using Bank Integration
This option allows you to link your accounts in Church360° to your bank online (using your secure login via the integration). In this case, the transactions will be imported into the Todo section on the Ledger Overview page as pending transactions once they have settled with the bank.
- Each pending transaction serves as a starting point that includes the date, bank account, amount, and memo information.
- You then select the correct transaction type, Payee, offset accounts, etc. Using this option ensures that the amounts will always be accurate as they come directly from the bank.
Key characteristics:
- Amounts come directly from the bank and cannot be changed
- Reduces the chance of data-entry errors
- Transactions only appear after they settle with the bank
- Requires review and categorization before posting, as the bank cannot provide desired offset accounts.
Using Automatic Transactions
Church360° provides other automatically created transactions besides Bank Integration, including:
- Offering batches posted to Ledger (whether via Vanco or manual offering entry).
- Paycor integration transactions
- Recurring transactions set up by users
These will show up as Pending Transactions on your Ledger Overview page, like the Bank Integration transactions. and provide more initial information than the Bank Integration transactions, but without the safeguard of a locked-in dollar amount from the bank. Depending on the type and specifics of the transaction, they may require some manual intervention before being saved.
Key characteristics:
- Pre-filled with relevant details
- Reduces repetitive data entry
- Aside from Paycor payroll import transactions, amounts are not locked like bank data
- May require review or edits before saving
Using a Combination of Methods
You may choose a combination of the above options. If so, note that if your combination includes Bank Integration and any of the other automatic transactions, there will be duplication to address.
Regarding Duplication
- Bank Integration imports a transaction for every deposit and withdrawal from your account.
- If you have already recorded an automatic transaction such as an Offering batch deposit, or a payroll transaction imported from Paycor, when the cleared transaction shows up from the Bank Integration you don’t want to generate that transaction a second time.
- You can use the trash can icon in the Pending Transactions list to dismiss it.
