Under Events, users can navigate to the Attendance subheading to show details on their congregation's attendance.
There are two views available in the Events area of the software: the Events calendar itself and Attendance. For more information on the Events calendar, please visit this article.
The Attendance view allows users to create and report on attendance batches and details on records attached to events created on the Events calendar.
To add or edit attendance records to an existing event, click on the "Enter Attendance" button in the upper left corner to be taken to the attendance batch entry screen.
- Note: Attendance can only be entered for events marked to take attendance (and communion, where applicable) will appear on the batch entry list. If an event doesn't appear on your list, you will need to open the event from the Event Calendar view to edit its settings to allow for attendance.
- Note: Attendance can also only be entered on or after the date of the event.
Action Buttons
- Download - On the Attendance view, you can export attendance information to a spreadsheet, either in Excel or CSV format. Downloads will specifically filter based on which records and columns are visible.
- Print - This option allows you to print your list of visible records and information directly from your browser. Printing options will be limited to your browser's capabilities and some columns may be cut off, depending on how many are selected. In the upper right, you can choose page orientation before printing.
- Compare - This option will open the selected date range as an attendance and contribution comparison between multiple years.
- Save Report - This option allows you to save the columns and layout of your current view. You can access your saved reports at any time by clicking on the Reports page in the Primary Navigation bar.
Date Range Selector
If you are looking for attendance details for a specific date range, users can click on the date range below the Attendance subheading to edit it as needed.
To avoid large amounts of data creating lagging, date ranges are limited to 18 months.
Under the date range, there is also a checkbox where users can choose to include people records of those who do not have attendance records for the selected date range.
To the right of the date range, there is a button labelled "Enter Attendance" that takes users to the batch entry screen.
Drop-Down Menus
On the right of the view, who and what is shown under the Attendance details can be filtered by three distinct drop-down menus.
The first drop-down will contain a list of all Smart Groups (denoted with a lightbulb icon) and Tags (denoted with a tag icon) that you can select to automatically filter your view. On the right of this menu is a button with three lines on it. This will open up the Smart Group Trait drawer to access specific criteria to filter your view.
The second drop-down menu will display all the calendars that are visible to you. You can select and deselect calendars to find what kinds of attendance events you want to include.
The third drop-down menu is labeled Columns. This will allow you to choose which fields are shown on the view.
Overview Graph and Attendance Summaries
Once your date range and data filters are selected, the graph at top of the visible data shows an overview of your attendance recorded numbers.
Fields exclusively available in this view include:
- Graph - Displays an individual's personal attendance pattern within the selected date range
- Last Date - The last date of recorded attendance for the calendars selected
- Percent - Number of attended events divided by the total number of events
- Total - Total number of weeks an individual attended within the selected date range
